     THE VILLAGE AT CORDATA CONDOMINIUM ASSOCIATION
             MINUTES OF THE MONTHLY BOARD MEETING
                                April 11, 2019

The meeting was called to order by President Larry Allen at ten a.m. Present were Board members: Claire Gatter, Henry Mitchell, Roy Teeter, John Eisenhardt, Katie Sherwood, Toni Whitmyre and Lana Mills. Dan Keller was out of town. Residents present numbered 17.

The Minutes of the March meeting were approved as written.

TREASURER’S REPORT: Toni Whitmyre
As of March 31, the O&M fund totaled $50,843 and the Replacement Fund was $106,480 for a total of $157,323. Our annual audit is nearing completion, but the in-house audit is delayed as Ron Beall is out of town.
The new quarterly reports updating committee chairs on their committee budgets has been favorably received.

BUILDING AND ROADS: John Eisenhardt
123 crawl spaces have been inspected. Those crawlspaces needing more attention such as insulation, drainage, etc., are being dealt with by Peter. The total costs for the inspections were $78/unit, which is well under the amount budgeted. Two units requiring more extensive pipe replacement were done by Gary’s Plumbing at a total cost of approximately $3,600.
The pump beneath Mr. Lingbloom’s unit is quieter for now. Larry explained that our water issues are being addressed, but efforts to find the builder’s original drainage plan to fix the overall problems have been in vain.
The siding in Phase III is almost finished and on budget. Painting will begin as soon as the weather cooperates. Windows and glass installation will begin on May 1. There will be 60 new windows, 4 glass replacements and one new garage door.
Larry reported that there has been no activity on the potential legal action by Freshlook Kustom Painterz. He will keep everyone updated.

CLUBHOUSE: Jackie Smith
Danielle will now be cleaning the clubhouse every Friday. The carpet will be professionally cleaned on Wednesday, April 17. Jackie will be looking for bids from professional cleaners to do a deep clean of the clubhouse. This will include cleaning the fans, light fixtures, etc. Touchup painting is also needed, possibly by volunteers.

CONDO SALES: Lana Mills
The real estate agent for the Tyne family says their unit at 4377B Village Drive (a D2) will be going on the market in the next week or so. There are currently six units rented out.

EMERGENCY PREPAREDNESS: Larry Allen
The committee met and the report is posted on the bulletin board. Plans are still in progress for a disaster preparedness show and tell later this summer. Anyone wanting to help, please contact Larry.

DOCUMENTS AND REVISIONS: No report

LANDSCAPING: Bubs Kroll
The committee had their first meeting of the year earlier this month where they discussed the landscape budget and talked about this summer’s irrigation. It was decided to turn on the water the first Monday in June. Anticipated shutoff will be in mid-September. Last year’s irrigation cost us $8,000.
Todd and his crew are currently cleaning the flower beds on East Village. The maple and the crabapple trees have been pruned. As many of you know, Jim left the crew for health reasons and Todd has hired Miles to replace him.
Todd asks that we do not stop them from doing their job by talking to them. It is frustrating when they are delayed. Instead, PLEASE submit work requests in writing and drop in the “Board” box.

POOL AND SPA: Paul Grey
There has been 100% uptime with the pool and spa. The pool cover has been removed as the weather has warmed enough. New signs have been installed. John and Peter installed a door flap to stop drafts and keep the heat.
Please remember to shower off lotions and potions before using the spa and pool.
Someone keeps forgetting their swim trunks in the men’s shower. If they are yours, please contact Paul.

SECURITY: Bob Rose
Bob thanked Ron Kowalski for the great job on getting the new gates installed. Instructions for using the gates are posted on the website and on the bulletin board in the clubhouse. When coming into the Village using the gate, it is important to remember to reenter the code to lock it behind you. If you have trouble entering the code, hit “C” to clear it, then reenter.
Thank you to Jim Stephens and Ron K for cleaning and installing LED lights in the globe street lights at the clubhouse. Thank you to Roy Teeter for overseeing the installation of LeeLand cypress trees to close the gaps in the privacy hedges. Ted Wagner has installed three faux security cameras, one at each entrance and one on 4650 Village Drive. Surveillance warning signs have been placed at the entrances also.
Construction by the City of the community trail near the retention pond has been delayed for lack of funds which gives us time to install barberry bushes and give them a good start as a privacy hedge.
Bob is going to arrange a meeting for this committee with the City to discuss the buffer area and the City’s plans for it.
The website, Nextdoor.com, has privacy issues warns Carlos Molina. Neighborhoods subscribing to Nextdoor.com will find that too much personal information is available for viewing by their members. Thank you, Carlos for the heads up.

RV LOT: No report
(David has prepared an updated list of RV lot gate closers. The list runs through the end of September. A copy of the list is on the bulletin board. Bubs will ask David to email a copy to each “closer” on the list.)

SOCIAL: Pat Hood
On April 18, bingo and dessert in the clubhouse and on April 25th, the Out to Dinner group will head to Mikanos.

WEBSITE: Henry Mitchell
The website has been updated. Henry would like you to know that the website offers space for any owner to announce their place for sale or rent if wanting to sell “For Sale by Owner”. (Owners, only.)

WELCOME: No report
WOODSHOP: No report

OLD BUSINESS:
Pacific Crest Reserve has submitted its report to Larry. A meeting of the Board will be held week after next to go over the report with PCR’s representative. All owners will be provided the information sometime thereafter.

NEW BUSINESS:
Larry announced the result of the recent Board election. Claire and Toni were reelected and Roy Teeter became our newest member. Officers will remain the same, except Dan Keller is our new Vice President.
Larry thanked Bob for his participation while on the Board. His contribution will be missed.
John said the paint crew power washed the deck at 4550B Village Drive. The deck appears sound, but the lattice work is down on the ground.

Keith Lingbloom asks if it’s possible to widen the very narrow “visitor” parking space beside his unit. John will look into it and coordinate with Larry and the Board so a decision can be made at our next Board Meeting.

There being no further business before the Board, the meeting was adjourned at 10:50 a.m.
